Create Contracts, Proposals, and Estimates


Things to note in advance:

  1. Contracts only to be send when the prospect or potential client is converted to "Client".

  2. New proposals for potential clients or prospects are create that are still in the "Lead Contact" or "Deal" stage.

  3. New proposals for existing clients are called "Estimates".

  4. Estimates are under "Finance" menu as per international best practices which our system is built based on. Also, recommended for new prospects or potential clients.

  5. New proposals for potential clients or prospects are available under "Work" menu and can be access based on the permissions and granted access not necessary finance tea.


Within the platform, there are differences between proposals and estimates based on the following scenarios. You can either:

  1. Scenario 1: Send a proposal directly to potential client without agreement or contract.

  2. Scenario 2: Send a proposal directly to potential client with agreement or contract.

  3. Scenario 3: Send a proposal "Estimate" to existing client.


Create Proposals for New Potential Clients:

  1. Create a client profile on "Deal" on the left-side menu,

  2. Select the potential client/prospect that you are looking to create a proposal for,

  3. Click on the "Proposal" tab on the top of the page menu,

  4. Click on "Create Proposal", enter the necessary information, then press "Save", "Save and Send", or "Save and Mark as Send" in case if the proposal was sent outside of the platform to prior communication.

First, you need to create a contract for a client to start the project or work. To create, edit, and delete contracts for prospect or potential client, following the steps. Firstly, convert the prospect or potential client to "Client". To do so, follow the below steps and check the below screenshot:

  1. Create a client profile on "Deal" on the left-side menu,

  2.  Select the potential client/prospect that you are looking to change/convert to,

  3. Click on the 3 dots "..." tab on the left side of the page menu,

  4. Then, click on "Change to Client".


Important note: Once the prospect/lead is converted to client, it is unable to revert back to lead deal. In case and by mistake you convert the lead deal to client, you will need to delete it and create a new lead deal. This feature is under-development, and will update you once it is rolled out. Thank you for patience and understanding in advance :)



To issue or create a Contract:

  1. Navigate to "Work" on the left-side menu,

  2. Click on "Contracts",

  3. Select "Add Contract",

  4. Fill the necessary and required information including selecting the client, project type, etc.

  5. Then, click on "Save".


Once the Contract is created, go back to "Work" menu to send it to the client for further process based on the following steps:

  1. Navigate to "Work" on the left-side menu,

  2. Click on "Contracts",

  3. Click on the serial number or code of the contract,

  4. Client will get a notification to sign the agreement either through an email or within the system if the client has been granted an access. Or, you can share the public link to sign without accessing the system. Or, you can download the contract and send it manually to the client.

Finally Proposals vs Estimates:

  • New proposals are create for new potential clients still in the "Lead Contact" or "Deal" stage.

  • New proposals for existing clients are called "Estimates".
